Enrolment Funnel for Childcare and Early Learning Centres
Every childcare centre we've worked with has a waitlist. Almost none of them have an actual enrolment funnel. There's a real difference: a waitlist is just a list of names sitting in a spreadsheet, hoping parents remember to follow up themselves. A funnel is a deliberate, warm sequence that moves a parent from "I filled in a form" to "we start Monday" 💖. When there's no funnel, centres lose enrolments not because they're the wrong fit, but because a parent got busy, forgot to book the tour, or toured and never heard from anyone again.
What most centres get wrong
The biggest gap is what happens after the enquiry form is submitted. Most centres send an automatic "thanks for your enquiry" email and then... nothing, until the parent chases them. Parents evaluating childcare are usually comparing two or three centres at once, often while heavily pregnant or juggling a toddler — the centre that follows up promptly and warmly is often the one that wins, regardless of which centre is actually the better fit.
The second mistake is treating the tour as the finish line. A tour that goes well but isn't followed up within 48 hours loses momentum fast. Parents tour multiple centres in the same week and the details blur together — the centre that reaches out first, referencing something specific from the visit, stays top of mind.
The tour-to-enrolment sequence
Day 0 — Enquiry received (personal follow-up within 4 business hours)
"Thanks so much for reaching out about [Child's name]'s care. I'd love to show you around — here are our available tour times this week: [link]."
Day 0–2 — Tour booked (SMS confirmation)
"Hi [Parent name], confirming your tour at [Centre] on [day] at [time]. Park out front and just buzz reception — see you then!"
Same day as tour — Follow-up email (sent that evening)
"It was lovely meeting you and [Child's name] today. I remember you mentioned [specific detail from the visit] — here's some more info on that, plus our enrolment form when you're ready."
Day 3 post-tour — Check-in SMS (only if no response)
"Hi [Parent name], just checking in — happy to answer any questions before you decide. No pressure at all!"
Day 7 post-tour — Final warm nudge (email)
"We've got a place opening up in [room name] for [term/date] — wanted to flag it in case timing works for your family. Let us know if you'd like to chat it through."
How to set this up without new software
You don't need an expensive CRM to run this. A shared enquiry inbox, a simple spreadsheet tracking each family's stage (Enquired / Tour booked / Toured / Enrolled / Lost), and a handful of saved email templates is enough for most centres under, say, 100 places. The templates above just need the placeholders filled in — the key discipline is actually sending them on schedule, which is where most centres fall down once things get busy.
Mistakes to avoid
- Don't let tours go unfollowed for more than 48 hours — momentum fades fast
- Avoid generic, copy-paste follow-ups that don't reference anything from the actual visit
- Don't leave waitlisted families in silence for months — a brief check-in keeps them engaged instead of enrolling elsewhere
- Don't over-automate the personal touches; a templated structure is fine, a templated tone isn't
- Don't ignore families who say no — a respectful "we'll keep your details if things change" keeps the door open for future siblings
Frequently asked questions
How quickly should we respond to a new enquiry?
Within a few hours during business hours is the standard to aim for. Same-day is the absolute minimum — many families have already toured elsewhere by the next day.
Should tours be group tours or one-on-one?
One-on-one converts better for most centres because families ask more questions and it's easier to reference specifics in your follow-up. Group tours can work for open days, but treat them as a different, lower-conversion channel.
What if we genuinely don't have any places available?
Keep the relationship warm anyway. A family who feels remembered and respected while waitlisted is far more likely to enrol when a place does open, rather than accepting the first opening elsewhere.
Does this funnel guarantee higher enrolments?
No — it improves conversion of the enquiries you're already getting, but it won't fix a centre with genuine capacity, location or reputation issues. Following up well makes a good offer convert better; it doesn't create demand that isn't there.
